Position Overview:

The Office Manager plays a vital leadership role in ensuring the smooth and professional operation of the Franklin Skin and Laser front office. This position oversees front desk staff, client communication, scheduling, and administrative systems with a focus on efficiency, accuracy, and an exceptional client experience. The ideal candidate is a polished, organized, and service-driven professional with a proven ability to manage people and processes in a fast-paced med spa environment.

Key Responsibilities:Front Desk & Client Experience:

  • Oversee and lead all front desk operations, ensuring seamless check-in, check-out, and payment procedures.
  • Greet clients warmly and maintain a welcoming, professional atmosphere consistent with Franklin Skin and Laser’s brand standards.
  • Manage appointment scheduling, confirmations, and waitlists to optimize provider productivity and client satisfaction.
  • Handle client inquiries, concerns, and feedback with professionalism and discretion.
  • Train and coach front desk staff in customer service, phone etiquette, and product/service knowledge.
  • Ensure HIPAA compliance and maintain strict confidentiality of client records.

Administrative & Operational Management:

  • Supervise front desk team schedules, time management, and workflow.
  • Monitor and reconcile daily transactions, deposits, and financial reports.
  • Manage inventory for skincare products and office supplies; coordinate vendor orders.
  • Maintain and optimize the clinic’s scheduling and Electronic Medial Records system.
  • Develop, document, and refine front desk protocols and checklists to ensure operational excellence.
  • Manage membership sales

Leadership & Team Development:

  • Provide ongoing coaching, feedback, and performance evaluations for front desk team members.
  • Participate in hiring, onboarding, and training new administrative staff.
  • Foster a positive, professional, and collaborative work environment aligned with Franklin Skin and Laser’s values.

Marketing & Sales Support:

  • Partner with the marketing team to execute promotions, memberships, and seasonal campaigns.
  • Support front desk team in upselling services and skincare products through client education.
  • Track and report on sales goals and front desk performance metrics.

Qualifications:

  • Minimum 2 years of management experience in a medical spa, dermatology, or aesthetics office (required).
  • Strong leadership, organizational, and communication skills.
  • Exceptional client service orientation with a polished, professional demeanor.
  • Proficiency with EMR/spa management software and Microsoft Office Suite.
  • Knowledge of cosmetic treatments, skincare products, and medical aesthetics terminology (preferred).
  • Ability to multitask effectively in a fast-paced, client-focused environment.
  • Flexible availability, including occasional evenings and Saturdays as needed.
