Job Description

We’re looking for a driven and strategic Inventory/Fulfillment Manager to lead and optimize our inventory control, order fulfillment, warehousing, and logistics operations. In this high-impact role, you’ll play a key part in scaling BioWave’s infrastructure as we are on track to double revenue every 3 years. You’ll also play a lead role in spearheading our implementation of integral platforms from QuickBooks over the next five years—laying the groundwork for long-term operational excellence and efficiency.

Duties and Responsibilities

Inventory Management

  • Manage the day-to-day inventory operations including receiving, storage, and stock movement
  • Implement, perform and oversee daily/monthly cycle counting and reconciliation processes with an eye for identifying discrepancies as well as implementing process improvements to increase inventory efficiencies
  • Developing tighter inventory/fulfillment controls within the QuickBooks Inventory and Warehouse module
  • Ensure traceability through serial/lot number control for all inventory in compliance with ISO 13485:2016 and CE Mark standards
  • Coordinate with Senior Director of Operations to ensure adequate supply of components and finished goods by aiding in forecasting while reducing carrying costs and optimizing inventory levels

Fulfillment and Logistics

  • Oversee, perform, pick, pack, and ship processes to ensure timely and accurate order fulfillment in compliance with SOPs as well as meeting established KPIs
  • Coordinate domestic and international shipments, including documentation for regulatory compliance
  • Identify and implement process improvements to increase fulfillment efficiency

ERP Transition and System Development

  • Assist in the selection of an ERP system, implementation and training process - once identified
  • Collaborate with IT, Finance and Operations to map workflows and data migration from QuickBooks
  • Support continuous improvement of ERP system use and reporting capabilities post-implementation

Compliance and Documentation

  • Ensure processes are compliant with ISO 13485:2016 and other relevant regulatory standards (FDA, MDR, etc.) by following established SOPs
  • Maintain detailed records of inventory movements, batch/lot traceability, and shipment documentation
  • Participate in audits and contribute to CAPA investigations related to inventory and fulfillment

Team Leadership

  • Supervise inventory/fulfillment staff by providing clear direction, training, and performance feedback
  • Develop and maintain a high-performance culture focused on safety, quality, and accountability

Required Experience/Skills

  • 5+ years of experience in inventory, logistics, or fulfillment, ideally in a medical device or regulated industry
  • Experience using QuickBooks for inventory/fulfillment; ERP implementation and/or experience using ERP systems
  • Familiarity with shipping software and requirements for domestic and international shipments
  • 2+ years of proven leadership skills with the ability to manage and develop a small but growing team
  • Excellent communication, organizational, and analytical skills
  • Ability to lift up to 50 lbs, work in a standing position for extended periods of time
  • Experience driving a forklift(we will certify)

Nice-to-Haves

  • Understanding of ISO 13485: 2016 and quality system requirements for inventory and distribution is preferred but not necessary
  • Fulfillment management within a medical device company

Education

  • Bachelor’s degree in Supply Chain, Business, Operations, or related field preferred

Pay & Benefits Summary

  • Suggested salary: $75,000 inclusive of management bonus
