Office Administrator (Full-Time, In-Person) – Denver, CO

About the Role:

We are looking for a highly organized and detail-oriented Office Administrator to support our daily operations and ensure seamless coordination across departments. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem solving, and is proactive in keeping office logistics running smoothly. The ideal candidate lives in the Denver area already.

As the Office Administrator , your primary tasks will be office administration, customer interactions, and class coordination, ensuring an efficient and welcoming environment for students, clients, and staff. Your responsibilities will include maintaining organized systems, processing class registrations, completions, and certifications. In addition, you will coordinate training materials and perform daily office functions.

What You Will Do:

  • Serve as the first point of contact for visitors, clients, and students, delivering a warm and professional welcome.
  • Manage class scheduling logistics, student communications, certification processing, and class completion documentation.
  • Support instructors and students in all training environments, both online and in-person.
  • Monitor and remove inactive students (more than 45 days of inactivity) and track online student progress daily to ensure transparency and accuracy.
  • Review and verify student assignment completion regularly; contact students weekly via email or phone if progress remains stagnant.
  • Identify and resolve all other pending statuses on the Canvas Student Dashboard (CSD), maintaining regular (at least weekly) communication to collect missing information.
  • Work collaboratively with the team to ensure all training materials, course documents, and online systems are current and accurate.
  • Follow documented SOPs for administrative tasks and actively suggest improvements to increase efficiency.
  • Handle administrative duties such as answering phone calls, managing inquiries, compiling class materials, printing sign-in sheets, and setting up or tearing down classrooms.
  • Collect and process credit card payments accurately and securely in accordance with company procedures.
  • Maintain a clean and organized workspace, restock supplies, oversee inventory, and place orders as needed.
  • Provide light facility maintenance support, including interior and exterior areas, with special attention to the cleanliness and order of restrooms.

Qualifications & Skills:

1-5

  • years in office administration or client services role in a client- or student-facing environment
  • Preferred skills in Canvas, Airtable, Microsoft 365, Converge, Slack, Adobe, Zoom, Quickbooks, and WooCommerce is a plus
  • Detail-oriented with strong communication and problem-solving skills
  • Bilingual (Spanish) candidates ideal

💰 Salary: $50,000 - $60,000 DOE

📍 Location: Denver, CO (Onsite)

📆 Schedule: Full-Time, Monday – Friday, 7:15am – 4:15pm
