Reports To: President & COO

Job Summary:

The Loan Assistant/Administrator is responsible for overseeing the administrative aspects of loan processing, supporting loan officers, ensuring compliance with all regulatory requirements, and providing exceptional service to borrowers. This role involves managing loan documentation, coordinating with loan officers, and facilitating communication between borrowers and internal teams. The Loan Administrator ensures the timely and accurate processing of loans while maintaining a high level of customer satisfaction.

Key Responsibilities:

Loan Processing & Documentatio n

  • Review and verify loan application documents for completeness and accuracy
  • Prepare and process loan documents, ensuring compliance with all relevant laws, regulations, and company policies
  • Coordinate with internal departments (e.g., underwriting, risk, and legal) to facilitate the timely processing of loans

Customer Service & Communication

  • Serve as a point of contact for borrowers throughout the loan application and approval process
  • Communicate effectively with borrowers to ensure they understand the loan process, required documentation, and timelines
  • Address and resolve borrower inquiries or issues promptly and professionally

Compliance & Risk Management

  • Ensure all loan documentation complies with company policies, regulatory guidelines, and industry standards
  • Monitor and assist in the completion of loan disbursements and repayment schedules
  • Maintain accurate records of loan transactions and ensure timely updates in loan servicing systems

Loan File Management

  • Organize, maintain, and update loan files and records both electronically and physically
  • Conduct regular audits of loan files to ensure compliance with internal procedures and regulations

Problem Resolution

  • Identify and resolve issues or discrepancies in loan accounts
  • Work with clients and other departments to address and resolve any loan-related concerns

Reporting & Data Entry

  • Input and update loan data into the loan management system with precision and attention to detail
  • Generate and maintain reports related to loan status, performance, and documentation

Collaboration

  • Work closely with the loan officers, legal team, and external partners (e.g., appraisers, title companies) to facilitate the approval and funding process
  • Assist with the preparation and management of loan closings and disbursements

Required Skills and Qualifications

Education

  • High school diploma or equivalent (associate or bachelor’s degree preferred)

Experience

  • Minimum of 3 years of experience in loan administration or a related financial services roles
  • Knowledge of loan processing, underwriting, and mortgage/financial industry regulations

Skills

  • Strong organizational and time-management skills, with an ability to manage multiple tasks and deadlines
  • Excellent written and verbal communication skills
  • Proficiency in loan management software and Microsoft Office Suite (Excel, Word, Outlook)
  • Attention to detail and accuracy in document preparation and data entry
  • Ability to maintain confidentiality and handle sensitive informatio
