Job Description

Duties and Responsibilities:

  • Stamp/code incoming invoices and deliver to appropriate personnel for approval signature
  • Code/verify invoices in Open Invoice and send to appropriate personnel
  • Create grease sheets and grease books monthly
  • Organize oil & water tickets. Pull tickets monthly
  • Provide administrative support for field staff/foreman
  • Assist operators with ProdView
  • Maintain effective communication with team members and management.
  • Monitor and order inventory office supplies
  • Greet visitors/vendors
  • Monitor incoming and outgoing correspondence- emails, mail and packages

Knowledge, skills, and abilities:

  • High School Diploma or equivalent preferred
  • 3+ years of Administrative Assistant experience preferred
  • Strong written and verbal communication skills
  • Detail oriented and highly organized with an ability to manage information, time and prioritize tasks to maximum efficiency
  • Ability to research information and willingness to communicate, cooperate, and coordinate with others
  • Strong computer and organizational skills
  • Strong analytical skills, attention to detail and multi-tasker
  • Must have the ability to prioritize workload and work with minimal supervision
  • Ability to work independently or in a team, with office staff and various agencies
